Why the free router from BT, Sky or Virgin isn't good enough
When you sign up for business broadband, the provider ships you a router — a plastic box with blinking lights that you plug in and forget about. For a family home where two people check emails and watch Netflix, it's fine. For a business, it's a liability.
The problems stack up quickly. Range is the first one: most ISP routers are designed to cover a two-bedroom flat, not a shop floor or an office with partition walls. Put it in the back office and the signal drops to nothing by the time it reaches the counter or the meeting room. Every brick wall, every metal shelf, every fridge and microwave between the router and your device eats the signal.
Then there's device limits. A typical ISP router starts struggling around 10–15 connected devices. In a cafe or a small office, you hit that easily: a couple of laptops, a till, a card machine, a printer, your phone, and a handful of customers on the guest Wi-Fi. Beyond that, the router slows down, drops connections, or reboots itself when it overheats — and ISP routers run hot because they're built to a price, not a standard.
There are features you simply don't get. No guest network isolation — meaning anyone on your Wi-Fi can potentially see other devices on the network. No VLAN support, which is how you keep your till and your customers' phones on different networks. No proper traffic management. And when something goes wrong, your broadband provider's support team will run you through the script: "Have you tried turning it off and on again?"
The router they send you is a starting point, not the finished article. Treat it as the modem — the thing that connects to the internet — and put proper networking kit in front of it. That's what the rest of this guide covers.
Access points vs mesh vs extenders — what to use and when
When the Wi-Fi doesn't reach, the first instinct is to buy a "Wi-Fi extender" from Amazon for £25. Don't. Here's what each option actually does, and why access points are the answer for almost every small business.
Wi-Fi extenders (avoid these)
An extender sits halfway between your router and the dead spot, picks up the Wi-Fi signal, and rebroadcasts it. Sounds clever — but it cuts your speed in half immediately. The extender has to receive and transmit on the same channel, so every bit of data takes twice as long. In a busy cafe or office, that means painfully slow connections and regular dropouts. Extenders also create a separate network name, so your phone won't seamlessly switch between the router and the extender as you walk around. You end up manually switching Wi-Fi networks every time you move from the front to the back of the building. They're a sticking plaster, not a fix.
Mesh systems (decent, but expensive)
Mesh systems — like Google Nest WiFi, Amazon Eero, or BT Whole Home — are a step up. You place two or three "nodes" around your building, they talk to each other wirelessly, and your devices see one seamless network. Mesh is aimed at consumers and it's easy to set up through a phone app. The downsides: they're expensive (£150–400 for a set), the wireless backhaul between nodes can still be slow (especially through thick walls), and they're limited in business features. Most mesh systems don't support VLANs, which you need to keep your guest network separate from your till. They're a good fit for a large home or a small professional office with no more than a couple of rooms, but for a proper business setup there's a better way.
Access points (the proper solution)
An access point (AP) is a dedicated device that plugs into your router with a network cable and broadcasts Wi-Fi from wherever you mount it. Because it's wired back to the router, there's no speed penalty. You can mount it on the ceiling in the middle of your space — exactly where the signal works best. A single decent access point, placed well, will cover a typical shop, cafe, or small office of 100–150 square metres without breaking a sweat.
If your space is larger or has thick walls, you add a second access point. Because they're wired, each one runs at full speed. And because they're designed for businesses, they support multiple SSIDs (network names), VLANs, and proper guest isolation. The two brands I recommend for small businesses are Ubiquiti UniFi and TP-Link Omada. Both have access points starting at £60–80 that will outperform any ISP router by a mile.
A simple setup for a small office or shop
Here's what a proper small-business Wi-Fi setup looks like. It's simpler than you might think:
The chain goes: modem → router → PoE switch → access point on the ceiling. Your ISP router still acts as the modem, connecting to the broadband line. A small PoE (Power over Ethernet) switch sits next to it — about the size of a paperback book and £30–40. One network cable runs from the switch up to an access point mounted on the ceiling in the centre of your space. That single cable carries both power and data, so you don't need a mains socket on the ceiling. The access point broadcasts Wi-Fi across your whole floor.
If you need a second access point — say for a back office or an upstairs room — you run another cable from the same switch. The access points work together, your devices roam between them automatically, and everything is managed from one app on your phone.
This isn't a diagram you need an IT degree to understand. If you can plug in a Sky box, you can cable an access point. The one bit you might need help with is running the network cable neatly — through ceiling voids, along skirting boards, or up through walls. An electrician or a low-voltage cabler can do a single cable run for £30–50. It's a one-off cost you pay once.
Guest Wi-Fi — why it matters and how to set it up
Walk into any cafe, salon, or waiting room these days and people expect Wi-Fi. It's not a luxury — it's as expected as a chair to sit on. But letting customers onto the same network as your business devices is a risk you don't need to take.
A guest network is a separate Wi-Fi network — different name, different password — that gives customers internet access but keeps them completely isolated from your computers, your till, your card machine, and your printer. Even if someone's phone is infected with malware, it can't reach your business devices because the network doesn't allow it. Setting this up on a proper access point takes about two minutes in the companion app. You tick a box marked "Guest Network" and the isolation is automatic.
As for the splash page — the screen people see when they first connect — keep it simple. Put your business name, your logo if you have one, and the Wi-Fi password right there on the page. Better yet, print the password on a sign by the counter or on each table. Splash pages that demand an email address or a Facebook login before they'll let you connect are annoying and drive people onto their mobile data instead. Your goal is for customers to connect quickly and get on with their day. The Wi-Fi is a convenience you offer; don't turn it into a marketing funnel that irritates everyone who walks through the door.
Keep your till and card machine on a separate network
Your payment terminal handles people's credit card details. Your till holds transaction logs, stock data, and sales figures. These devices should absolutely not sit on the same network as guest Wi-Fi, or even on the same network as your staff's personal phones.
This is where VLANs come in. A VLAN — Virtual Local Area Network — is a way of splitting one physical network into separate, isolated virtual networks. Think of it like lanes on a motorway: all the traffic uses the same road, but vehicles in different lanes can't collide. With VLANs, your till and card machine sit in one "lane", your office computers in another, and guest Wi-Fi in a third. Devices in different VLANs can't see or talk to each other unless you explicitly allow it.
This isn't just good practice — it's the foundation of PCI DSS compliance, the security standard that applies to any business that takes card payments. If your payment terminal is on the same network as the open guest Wi-Fi and something goes wrong, you're liable. Proper network segmentation shows your card processor that you've taken reasonable steps to protect cardholder data.
Setting up VLANs takes about ten minutes on a UniFi or Omada controller. You create a "POS" network for the till and card machine, a "Business" network for office devices, and a "Guest" network for customers. The access point broadcasts all three as separate Wi-Fi networks, and the switch keeps the traffic separate. From a user's perspective, it's invisible — your till connects to one Wi-Fi network, your laptop to another, and customers to a third. They all get internet, but they can't see each other.
What it costs — a realistic breakdown
This is the question everyone asks but most IT websites dodge. Here's what a proper business Wi-Fi setup actually costs, based on what I install for clients around Nottingham and Derby.

Compare that to an extender: £25 up front, and you'll spend the next two years apologising to customers while the card machine spins. A proper access point costs about the same as a tank of diesel and lasts five to seven years. The maths isn't complicated.
Add a second access point if your space is larger than about 150 square metres, or if you have thick stone walls, a basement, a mezzanine, or outdoor seating. Two access points wired back to the same switch give you seamless coverage across the whole site, indoors and out.
When to call someone (and when to do it yourself)
If you're comfortable plugging in network cables and poking around in a router's settings page, you can install an access point yourself. Ubiquiti and TP-Link both have phone apps that walk you through setup. Unbox the access point, plug it into the switch, open the app, and follow the prompts. The whole process takes about twenty minutes.
Call someone in if any of these apply:
- Thick stone walls or listed buildings. Old buildings eat Wi-Fi signals. You need someone who knows where to place access points and how to route cables without damaging period features.
- Multiple floors or a large footprint. A site survey takes about an hour and tells you exactly how many access points you need and where to put them.
- Outdoor coverage. If you've got a beer garden, patio seating, or a yard where customers or staff need Wi-Fi, outdoor-rated access points are a different beast. They need weatherproof enclosures and proper cabling.
- Warehouses or industrial units. High ceilings, metal racking, and heavy machinery create signal nightmares. This needs professional planning — guessing costs you in dead spots.
- You just don't want to deal with it. If networking isn't your thing and you'd rather someone else handles it so you know it's done right, that's a perfectly good reason.
A proper site survey — walking your space with a signal meter, identifying dead spots, planning access point placement — takes about an hour. You get a plan showing where everything goes and a fixed-price quote. No surprises.
One more thing — don't forget the cable
I walk into businesses all the time where the Wi-Fi is struggling, and sitting right next to the router is a desktop computer connected over Wi-Fi as well. If a device doesn't move — a desktop PC, a printer, a NAS box, a smart TV used for displaying menus — plug it in with a cable. Every device you take off the Wi-Fi frees up airtime for the devices that actually need it. A £5 network cable often fixes what a £200 mesh system can't.
